We're hiring

Secretary - Coordination & Communications

  • Hyderabad
  • Work from office
  • Full time
  • 1 to 4 years as an assistant or coordinator
  • 2 - 4 LPA CTC

Protect leadership's time, make sure promised work gets done, and keep what we publish accurate. A coordination and communications role in Hyderabad.

About the role

This is a coordination and communications role, not a personal or domestic one.

The leadership team is currently absorbing its own scheduling, follow-up, document assembly, event logistics and publishing. We are hiring one person to take all of that, and to run our public presence for the business line.

You will do three things: protect leadership's time, make sure promised work actually gets done, and keep what we publish accurate. The middle one matters most. This company writes its decisions down; the gap is follow-through, and closing it is the job.

Primary responsibilities

Calendar and time

  • Own the leadership calendar: meetings, customer demonstrations, seminar dates, reviews. Build the agenda before the meeting, circulate it, and keep the meeting to it.
  • Gatekeep and route: decide what needs the founder's hour and what another team member answers.
  • Prepare the pre-meeting briefing pack (open items, the numbers, the last decision) from our own platform and the internal plan documents, never from memory.

Coordination and follow-up

  • Keep the open-items list. After any meeting, write out decisions, owners and dates, and chase the owners until they close.
  • Coordinate across working streams and with our external accountant and lawyer.
  • Track everything that depends on outsiders: tax and legal reviews, e-procurement and tender registration, seminar sponsorships, vendor quotes.
  • Maintain the leadership decision log: what was decided, when, by whom, so our plan documents stay a working record.

Meetings, travel, events and paperwork

  • Minute leadership and board meetings, circulate within 24 hours, and turn minutes into the follow-up list.
  • Handle travel, accommodation, event stalls, seminar bookings, courier, venue and material logistics for professional-body and association events.
  • Assemble and check document packs: proposals, tender paperwork, licence registers, contracts, invoices. Drafting and signing stay with the leadership and the accounts team.

Social media and public presence

  • Run the content calendar for the business website and the business-line social channels: LinkedIn first, then visual and video channels. Keep the register of a business brand.
  • Publish: schedule and post, answer comments and messages, and route real enquiries into our platform as leads with the correct source channel.
  • Keep the business website honest and current, and keep the cost-comparison page accurate.
  • Light, occasional support for consumer-brand channels, kept strictly separate from business material.
  • Report reach and enquiries monthly: what came in, what became a demonstration, what it cost.

Related and extended responsibilities

  • Claims check before anything is published: you are the last gate before publication and hold the one-page checklist. That is authority to stop a post, not to write one.
  • First-line enquiry handling: answer common questions from an approved FAQ, book demonstrations onto the sales executive's calendar, and pass anything technical or price-specific to them.
  • Records hygiene: routine data entry into our platform (leads, meeting notes), and checking that registers and site records are complete at handover. You never hold a password, key or secret.
  • Vendor and office administration: purchases and logistics for demonstration material, print and merchandise, event stalls, and general admin.
  • Simple reporting: assemble the monthly and 90-day numbers into a readable pack for the founder and the board.
  • Store support on event days: demonstration-day hosting, walk-in capture, lead forms.

Required skills

  • 1 to 4 years running a calendar and a follow-up list for more than one person, as a personal or executive assistant, office or operations coordinator, or marketing assistant.
  • Written English good enough to publish. Accuracy over flourish.
  • Social fluency: can plan and post on LinkedIn, cut a short demonstration video, and knows the difference between a gaming post and a post addressed to a tax partner.
  • Discretion. This seat hears pricing, customer names and internal friction. We will reference-check for it specifically.
  • Order: you keep a list, you work a list, and you close a list.
  • Based in Hyderabad and available on site. English required; Hindi and Telugu strongly preferred.

Additional skills

  • Experience with a CRM or internal records platform.
  • Experience supporting events, seminars or exhibitions.
  • Basic video editing for short vertical and landscape clips.
  • Commerce or accounts familiarity sufficient to follow GST and invoice paperwork.

Languages

  • English (required, written to publish standard)
  • Hindi and Telugu (strongly preferred)

What we offer

  • Real authority within clear bounds: you can stop a post, and you run the follow-up list that the company acts on.
  • Direct exposure to a business being built: board meetings, pilot reviews, tender paperwork.
  • Scope and boundaries written down rather than improvised.
  • A written content cadence, so the social half of the job drifts into neither silence nor noise.
